
Chair
- Attends Steering Committee Meetings
- Runs the weekly meeting:
- Keeping time
- Introducing speakers
- Beginning and managing discussions
- Making announcements
- Requesting assistance
- Responsible for organising content for each meeting with the help of the Steering Committee
- Uses the minutes of previous meetings to keep track, organise and plan
- Sends out a meeting agenda weekly by Wednesday to all group members
- Manages the chair@ email account
- When a Chair first takes over, they must fill the role of Vice Chair as their first task
Vice Chair
- Attends Steering Committee Meetings
- Substitutes for the Chair when unavailable and assists the Chair at meetings (see Chair)
- The Vice Chair is also the next in line to become the Chair. The position of Vice Chair allows the individual to learn and practice for becoming Chair.
Treasurer
- Is a member of the Steering Committee
- Keeps financial records for the group
- Reminds members re breakfast fees and collects payments
- Handles bank transactions for the group
- Writes cheques when needed for speakers, gifts, training, socials, etc.
- Works with the Social Committee to collect payments for nights out, group activities, etc.
- Reports breakfast payments once a quarter to highlight late payments
- Presents an overall financial report to the group at the start of the year
- Works with the Membership Committee and Referrals Officer to report incoming or outgoing members to the Steering Committee and Administrator
Referrals Officer
- Is a member of the Steering Committee
- Takes attendance and records referral data at each meeting
- Reports referral numbers to the group at each meeting
- Reports poor attendance to the Administrator so that action can be taken (either phone call or letter)
- Checks the quality of referrals once a term by checking past referrals (Was it a good referral? Yes/no. Was business done? Yes/no.) and reports back to the group
- Reports overall attendance and referral statistics once a year at the end of the year
Steering Committee
- Reports to the Chair
- Assists Chair with finding content (speakers/topics/etc.)
- The Term Evaluations will be used to direct the committee as to what the group wants/needs
- Adjudicates on membership applications with Chair and Members Committee when necessary (e.g. competition for membership)
- Makes house keeping decisions and takes action where appropriate
- Discusses rules and other topics that concern the group, bringing issues to the attention of the group for a vote where appropriate
- The Term Evaluations will be used to improve the group
Administrator
- Is a member of the Steering Committee
- Uses the minutes of the meetings where appropriate, such as: emails, newsletters, Steering Committee meetings, blogs, website updates, press releases, etc.
- Writes Steering Committee Agendas / Minutes with help of other SC members
- Off Line Administration
- Writes and sends letters on behalf of the group
- Organises cards/gifts with prior instruction from the group with Treasurers help
- Co-writes and sends press releases
- Keeps record of group press clippings
- Document creation – word/spread sheets for group use
- Print up-to-date group documents, collate them into the NCBA brochure as the Welcome Pack and bring 1 or 2 into the group every Friday for new guests
- Online Administration
- NCBA website Members page updates (as promised originally this is done voluntarily)
- Link generation and other non-development SEO work
- Social Media site updating: Twitter, LinkedIn, YouTube, Facebook
- Blog management (receiving articles from members, proofing them and publishing them online in the NCBA blog)
- Info@ email account management
- Sends out a weekly newsletter to all group members
- Emails Steering Committee re upcoming meetings
Members Committee
- Make sure someone is always at the meeting to assist guests
- Arranges who does what and when with regard to the following:
- Welcoming guests, handing them the Welcome Packet
- Introducing them to other members
- Minding them during meetings, answering any questions they have
- Meeting with them after their first meeting to answer questions, get their feedback, etc.
- Contacting them to invite them back for a second meeting
- Bringing membership applications to the Steering Committee’s attention for joint adjudication when necessary (e.g. competition for membership)
- Contacting leaving members for feedback
Secretary
- Takes minutes of meetings
- Types them up and emails them to the Chair and Administrator
- Collates Term Evaluation data and reports feedback to group and emails collated data to Chair and Steering Committee
Web Master
- Manages website
- Creates logins for members wishing to contribute online
- Provide training for same
Social Committee
- Organises social events and gathers payments with the assistance of the Treasurer
